Investment Administrator, London

About the team:

An exciting opportunity to join a team of 9 Investment Managers and 5 support staff who are focussed on providing wealth management services to South African resident clients and to UK or International resident clients of South African origin.

What will you be doing?

This is an administration and support role, the purpose of which is to facilitate the effective running of the team through the provision of high quality administrative support. With the team's strong focus on new client acquisition, important tasks will include assistance with investment proposals and related marketing documentation, client onboarding, direct communication with clients and preparation of client reports.

Consideration would be given to providing support to complete relevant professional exams that would aid the successful candidate's development of their knowledge and understanding of the industry in the context of the role that they are undertaking. There is scope for progression into investment management in due course.

Carry out the full range of administrative primarily to one investment manager and the wider team as required. This would include:

• Preparation and drafting of client documentation of forms for new clients including financial questionnaires, client agreements and other regulatory/tax compliance forms.
• Working with clients to request and obtain necessary account opening documentation such as AML documents and trust deeds in a format that meets regulatory requirements.
• Setting up new client accounts, including ensuring that all aspects of static data such as reporting and fee arrangements have been correctly and accurately applied.
• Inputting KYC data based on completed client documentation.
• Liaising with clients and third parties to arrange the transfer in and out of assets as required
• Arranging both ad hoc and regular payments.
• Liaising with clients to confirm the veracity of changes to static data such as bank details, trustee details and addresses and ensuring that such changes are then correctly applied.
• Arranging online access for clients and their advisers.
• Responding to client requests for historic information and portfolio data, ensuring that appropriate authorities are in place for the provision of that information.
• General administration duties to support the investment team answering phones, taking and passing on messages for them and other team members.
• Assist with preparation of information for client review meetings, investment proposals, pitch documents and meeting minutes.
• Assisting in the timely preparation and dispatch of reports and valuations.
• Ensure compliance with regulatory and organisational requirements / procedures at all times

What are we looking for?

  • Administration experience within a Private Client or Financial Services enviroment desirable but we are open to your skills and background
  • Competent at working to deadlines and managing own time.
  • Flexible attitude to work in response to changing workloads and deadlines within the team.
  • Exceptional focus on attention to detail
  • Strong numerical skills
  • Highly IT literate with an ability to learn new systems.
  • Excellent working knowledge of Microsoft Office Word, Excel and PowerPoint.
  • Excellent interpersonal skills with the ability to communicate effectively with Investment Managers and clients.
  • Excellent telephone manner.
  • Ability and willingness to keep colleagues fully up to date on progress with multiple tasks that are being undertaken at any time.
  • Reliable and enthusiastic with a strong sense of integrity and a willingness to develop an understanding of our corporate purpose.
  • Proactive, naturally efficient and organised with a sense of pride in completing tasks to a high standard with consistency.
