PA / Office Coordinator (3408)

The Glasgow Regional Head will be looking for a Personal Assistant to contribute towards the effective running of the Glasgow office through the continuity of support and provision of a high quality PA service and co-ordination all office matters, ensuring that daily demands and deadlines are met

 

The successful individual will need to have an excellent working knowledge of Microsoft Word, Power Point, Outlook and Excel, possess a flexible attitude to work in response to changing workloads and deadlines within the team as well as have the ability to learn new internal systems (Pulse and Coric). For this role, prior experience within a similar role is preferable

 

Primary responsibilities include, but are not limited to:

  • Extensive diary management
  • Hotel / travel arrangement with complex itineraries
  • Assist with CPD log throughout the year
  • Collate expense claims
  • Assist with inducement log throughout the year
  • RSVP on behalf of Director
  • Collate weekly office figures and distributing timely
  • Maintain weekly check of Director's Know Your Client (KYC) lists and update accordingly
  • Collate full office Performance Development Reviews for Director's
  • Prepare documentation for Director's internal meetings
  • Organise client meetings for Director using KYC as guidance
  • Email Circumstance Questionnaire to client when prompted.
  • Prepare monthly PowerPoint presentations for Front office and Management Committee meetings
  • Prepare power point presentation for annual staff meeting
  • Minutes and action log for Management committee meetings.
  • Collate action points from Front Office meeting and distribute accordingly
