Description of role and key responsibilities
To provide confidential assistance and administrative support, the role entails the following key responsibilities:
Diary Management
- Efficiently managing multiple CIO diaries.
- Proactively reschedule meetings as needed to accommodate changes.
- Coordinate both internal and external meetings, preparing agendas, and ensuring all necessary materials are distributed in advance.
- Assess the urgency of meeting requests to prioritise schedules effectively, ensuring critical meetings receive the necessary attention.
- Organise catering for meetings and events, considering dietary requirements.
- Book meeting rooms and if needed ensure they are equipped with the necessary resources, including seating arrangements and refreshments.
- Oversee the AV setup for meetings and events, ensuring all equipment functions and deal with any issues that arise.
- Respond promptly to last-minute meeting requests and adapt to changing circumstances.
Client Engagement
- Serve as the first point of contact for all internal and external stakeholder communications, fielding and directing email requests as necessary and assisting with inquiries.
- Align diaries with internal and external stakeholders to facilitate effective communication and scheduling.
Meeting Attendance
- Attend CIO leadership team meetings, recording, track, and following up on action points.
- Draft agendas, take minutes, and distribute them.
Event Coordination
- Source venues for off-site events, manage budgets.
- Onboard new venues, including legal reviews and invoicing.
- Arrange all travel logistics for events, including flights, transport to venues.
Organise catering, and entertainment.
Travel Management
- Secure the best rates for CIO and team members flights, hotels and trains.
- Arrange taxis as necessary.
- Maintain strong relationships with travel providers to ensure quality service.
- Ensure adherence to the company's travel policy.
- Assist with foreign exchange requests and traveller allowances.
- Ensure travel is charged to the correct cost codes, including split locations.
- Engage with travellers to understand their specific travel requests and requirements.
- Gather and update accurate traveller profile information.
- Help with visa applications, including providing invitation letters and creating business cards as needed.
Invoices
- Allocate invoices to the correct cost codes and departments, seek necessary approvals before submission to Accounts Payable.
CIO group support
- Record and track the monthly whereabouts of the CIO in a shared calendar.
- Create and manage distribution lists, team channels, and group chats.
- Maintain organisational charts.
Miscellaneous Responsibilities:
- Onboarding processes for new joiners and leavers including security pass production, inclusion into distribution lists and offboarding.
- Support the CIO with lunch as and when needed.
- Purchase | arrange team gifts.
- Approve annual leave on behalf of CIO.
- Utilise multiple systems such as MS365 tools including Loop, Confluence, SharePoint, and Teams apps such as Copliot to enhance workflow and communication.
- Support CIO's with any adhoc projects that may arise
Core skills and knowledge:
- Ideal candidates will have experience as a Personal Assistant or in a similar role. You will have a strong understanding of the confidentiality and sensitivity required, as well as the high-pressure and time-sensitive nature of this position.
- Strong organisational skills and a keen attention to detail.
- Excellent planning abilities with the capability to manage a busy workload, often juggling conflicting priorities and tight deadlines while maintaining composure under pressure.
- Ability to develop and nurture key business relationships.
- Proficiency in Microsoft Office applications.
- Advanced skills in PowerPoint.
