Description of role and key responsibilities.The Personal Assistant (PA) will work closely with the Co-heads (and their PA in NY) and PIF UK team members to ensure that their diaries are managed and the right people and meetings are prioritised. Additionally the PA will be: • Responsible for diary management, travel booking, event scheduling and ensuring the co-heads and PIF UK team members have all the relevant papers for each meeting• Acting as the secretary to various forums, sending invites, taking minutes and capturing actions as required• Ensuring all meeting rooms are set up with appropriate hospitality and equipment and will be on-hand to respond to any issues that may arise• Dealing with all inbound calls and emails and filter / monitor / respond as needed• Responsible for all travel arrangements for the PIF UK and US teams .• Managing correspondence on behalf of the Co-heads and PIF UK team members as appropriate and / or prepare for their to review• Processing expense claims• Maintaining filing and records to ensure they are accurate and up to date• Ad hoc project work as required• Building relationships with all relevant stakeholders (both internal and external) that would interact with the Co-heads and PIF UK. Through those relationships gaining understanding, trust and commitment to appropriate action• Carrying out work of a personal nature as required (this is not a considerable part of the role)
Core skills and knowledge.• Ideally you will have experience of being a PA to executives• Excellent organisation and planning skills with the ability to manage a busy workload, often with conflicting priorities and tight deadlines, while remaining calm under pressure• Advanced Microsoft Office skills
