Receptionist / Office Manager (10385)

What will I be doing?

•    Greet clients and visitors in a professional and welcoming manner
•    Hospitality of clients, external and internal staff & visitors
•    Operate switchboard
•    Ensure the entire office including client area is tidy and well-presented at all times
•    Handling of visitor badges and keys, and ensuring NDAs are signed by all office visitors, and appropriate log is maintained with Compliance.

•    Handle incoming and outgoing mail, packages, and deliveries
•    Manage and maintain office supplies and equipment, including food and drink 
•    Coordinate travel arrangements, accommodations and expense reports for employees when required
•    Support teams with various administrative needs, including but not limited to, photocopying, printing and scanning documents 
•    Update and distribute various lists (contact, birthday etc.)
•    Coordinate meeting rooms 
•    Maintain [email protected] and [email protected]
•    Assist, whenever required, with the arrangement of specific events, strategy meetings, off-sites, conferences and other functions
•    Cooperate closely with the Business Continuity Management team with regards to facility related matters

•    Central point of contact for the Verwaltung of the office building. 
•    General care-taking of the premises
•    Understand and maintain the alarm system, including changing the code on a regular basis
•    Coordinate with external vendors and service providers for office maintenance and repairs.
•    Escalate alarms to the relevant department
•    A member of Team Green with overall responsibility for recycling and waste.

What are we looking for?

•    Strong interpersonal and communication skills
•    Correspondence in English and German (French is an advantage)
•    Dedication and ownership – taking full accountability for areas of responsibility
•    Good people skills and good at building relationships within the Investec Group
•    Flexible and able to adapt to a dynamic environment
•    Quality assurance and thorough attention to detail
•    Critical and lateral thinker; ability to prioritize
•    Troubleshooter and independent problem solver
•    Flexible; well-presented; highly organized; neat
