Location: Birmingham

Team description

This role is part of the wider office team which consists of approx. 23 colleagues across Wealth and Bank. Our Receptionist interacts with all our colleagues and their clients, as well as any external parties.

Description of role and key responsibilities

  • Operation of Telephone Switchboard, help with queries, take messages and transfer calls as necessary
  • Welcoming clients/visitors on behalf of the Teams within the Office
  • Maintain diary for all meeting rooms
  • Assist with ordering and serving catering/refreshments
  • Handle incoming/outgoing post including scanning and printing as required
  • Arrange couriers and taxis as required
  • Organise video conferences between offices and external contracts
  • Ordering and sorting hard copy client documents/literature
  • Complete mail shots as required
  • Banking Cheques as required
  • General administration duties to give assistance, continuity and support to teams as required
  • Prepare responses to incoming correspondence and emails as requested
  • Keep abreast of operational and administrative procedures
  • Liaise with building management and the facilities team

Core skills and knowledge

  • Excellent customer service and communication skills
  • Excellent attention to detail
  • Proactive nature
  • Excellent knowledge of Microsoft Word, Outlook and Excel
  • Ability to learn and develop knowledge of internal systems, including Pulse (full training will be provided)

Other attributes that would be helpful, but not essential for the role

The successful candidate will be able to demonstrate strong verbal and written communication skills, with a good client facing manner. They should have good time management skills, be able to work to deadlines in a calm, methodical and professional manner, and work on their own initiative when required. The successful candidate will have a flexible attitude to work in response to changing workloads and deadlines within the teams. Reliability, enthusiasm, initiative, self-motivation and integrity are essential characteristics. Previous receptionist experience required.
