Senior Investment Administrator

About the team:

An exciting opportunity to join a team of 12 wealth planners, 2 discretionary fund managers and  7 support staff who are focused on delivering an exceptional investment management and wealth planning service to a high net worth client base with assets under management of c.£1.5bn.   The team has historically provided investment management services to clients whilst working alongside financial planners to provide broader wealth structuring and planning advice.   The team is now increasingly looking to combine those activities in single role under our newly launched Wealth Planning service.   

About the role:

In this role, you will be facilitating the effective running of the team through the provision of high quality administrative support.   Whilst the role itself does not have a natural progression to an investment management or wealth planning role, consideration would be given to providing support to complete relevant professional exams that would aid the successful candidate's development of their knowledge and understanding of the industry in the context of the role that they are undertaking.

Key responsibilities:

  • Carry out the full range of administrative duties to support five wealth planners and the wider team as required.   This would include:
    • Preparation and drafting of client documentation including draft financial questionnaires, client agreements and tax compliance forms.
    • Working with clients to request and obtain necessary account opening documentation such as AML documents and trust deeds in a format that meets regulatory requirements.
    • Setting up new client accounts, including ensuring that all aspects of static data such as reporting and fee arrangements have been correctly and accurately applied.
    • Inputting KYC data based on completed client documentation.
    • Liaising with clients and third parties to arrange the transfer in and out of assets as required.
    • Obtaining capital gains tax records from third parties, liaising with the IW&I CGT team and ensuring that transfers of assets have been correctly captured on our systems.
    • Arranging both ad hoc and regular payments.
    • Liaising with clients to confirm the veracity of changes to static data such as bank details, trustee details and addresses and ensuring that such changes are then correctly applied.
    • Arranging online access for clients and their advisers.
    • Responding to client requests for historic information and portfolio data, ensuring that appropriate authorities are in place for the provision of that information.
    • Arranging the distribution of estates and trusts when requested by executors and trustees.
  • General assistance to wealth planners, answering phones, taking and passing on messages for them and other team members.
  • Responding, as appropriate, to internal correspondence and e-mails.
  • Assisting in the timely preparation and dispatch of reports and valuations.
  • Developing knowledge of, and complying with, all regulatory and organisational requirements / procedures.

About you:

  • Relevant administrative experience in a financial services environment.
  • Able to proactively developing familiarity with all aspects of client administration – it is understood that the successful candidate might not currently have full knowledge of all of the above aspects of the role but a willingness and ability to develop those skills is essential.
  • Exceptional focus on attention to detail in all matters, including correspondence with clients and colleagues and the preparation and processing of documentation and other work.
  • Strong numerical skills.
  • An ability to learn new systems, and excellent working knowledge of Microsoft Office Word, Excel and PowerPoint.
  • Working knowledge of Fiscal, Pulse and Xplan is desirable but not essential.
  • Excellent interpersonal skills with the ability to communicate effectively with wealth planners, clients and other colleagues.
  • Reliable and enthusiastic with a strong sense of integrity and a willingness to develop an understanding of our corporate purpose.
  • Naturally efficient and organised with a sense of pride in completing tasks to a high standard with consistency.
  • Comfortable working to deadlines and managing own time.
  • Flexible attitude to work and a willingness to put in additional hours in response to changing workloads and deadlines within the team.
