Key Responsibilities: 

PA to Finance CFO, CFC and the Financial Control Heads

Diary management (in addition - Group Finance Head of Tax)

Dealing with matters which are of a confidential nature

Ensuring all relevant papers are ready for each meeting

Working closely with the other senior management PAs on a daily basis to arrange necessary meetings, video conferencing and calls when needed

Dealing with queries and correspondence

Arranging travel, visa's as required, accommodation

Processing invoices and expense claims

Filtering and monitoring of phone calls

Maintenance of filing and ensuring it is accurate and up to date

Ad-hoc project work as required

Taking minutes and organising meetings

Help with arrangements on the floor, i.e. desk moves/departmental issues

Organising events as and when required

Perform any other duties which may reasonably be required

Secretary to the following Forums / Committees

  • Transfer Pricing Steering Committee

Administration duties

  • General administrative support to front office desk heads and their teams
  • Organise meetings and book refreshments as required
  • Co-ordination of stationery and business stationery (inc. business cards), ensuring that stationery is available to the department, while controlling expenditure
  • Formatting, printing and binding presentations when required
  • Update organisational charts and floor plans
  • Screen and distribute daily post
  • Posting/courier documents
  • Screening telephone calls, enquiries and requests, and handling them when appropriate

Core Competencies:

Technical knowledge

  • IT Skills - Proficient in the use of Microsoft Office packages - Word (advanced), PowerPoint (intermediate), Excel (working knowledge) and Outlook, Accurate typing skills
  • Do you have strong organisational skills?
  • Are you highly organised and able to work effectively and calmly to deadlines without close supervision? 
  • Communication skills - Articulate in both written and oral communication with the ability to liaise with people at different levels within the organisation
  • Ability to multi-task, in a demanding and changing environment
  • Attention to detail
