The team is responsible for both the Corporate Services and Workspace requirements of Investec Plc.
Corporate Services are involved in both planning to help realise strategic business objectives and in day-to-day operations to ensure a safe, efficient and sustainable working environment for staff and Clients. This covers both the soft and hard facilities functions and sustainability.
The Workspace function covers:
- The Real Estate function which looks after the acquisition, management and disposal of the commercial property occupied by the group in the northern hemisphere and the management and disposal of any legacy property.
- The Workplace Function which oversees the Project Management of any occupied premises projects from acquisition to occupation.
- The Project office which oversees the governance and administration of the workplace function and all internal churn projects
The provision and oversight of working from home requirements for agile staff.
What will you be doing?
- To provide clear briefs to external Project Managers and other design and delivery team members as required. PM's brief to include objectives, deliverables, specific accountabilities and decision-making authority, key milestones and governance and reporting requirements. Real example, we have a requirement to provide end of journey facilities for both the Investec and Rathbones staff because of the existing lease where these facilities are provided coming to an end. We need to develop and finalise the brief and complete the project by June 2025.
- To manage delivery of projects through appointed external Project Managers, if required, in line with the terms and stated expectations of the agreed brief. Hold regular performance reviews and ensure that any issues are promptly addressed as the project progresses.
- Attend and chair all key project meetings as necessary and distribute minutes and agreed actions afterwards as appropriate.
- Brief and performance manage other external agencies who may be part of a workspace project team in addition to the appointed PM, including Architects, Cost Consultants, Change Management specialists, Move Managers / other.
- Intervene to resolve any significant project issues as they arise and as necessary to ensure on time / on budget delivery and to protect the interests of Investec.
- Keep line manager regularly informed and updated on project progress, reporting against pre agreed milestones and KPI'S. Highlight any risks to delivery and actions recommended to resolve.
- Liaise and communicate effectively with all key internal stakeholders, in particular the internal project client(s), to ensure that their needs are met and that they are regularly and well informed. Record their agreement to key project related decisions such as any changes to scope, timings or expected deliverables.
- Develop annual and project budgets and review and agree with line manager. Once agreed manage budgets effectively and report regularly on budget performance.
- Work closely and effectively with the Investec PMO, working as a team to ensure effective project and budget outcomes with risks effectively managed and reported.
What are we looking for in you?
- Construction related industry experience is required
- Degree qualified in Engineering or property related subject
- Knowledge of contract, health & safety & employment law
- Broad understanding of construction project management and property industry
- High degree of personal motivation and ability to work on own initiative and with the minimum of supervision
- Ability to work as part of a close knit management team and work on numerous activities / projects simultaneously – both short and long term
- Exceptional client facing skills are a prerequisite for dealing with the client, consultants, design team and contractors
- Flexibility with regard to working hours to meet the requirements of this challenging position
